How we handle
your information.
Last updated 13 July 2026. This covers information from site visitors, clients, and the cast and crew details clients share with us to build a program.
Who we are
Entr'acte Creative is a sole-operator theatre program design service based in Sydney, Australia. For any privacy question, contact us at programs@entractecreative.com.au.
What we collect
We collect two broad categories of personal information:
- From you directly, if you contact us or sign up for our free resources: your name, email address, and anything you include in a message, such as production details.
- From clients, about third parties, when a production sends us the content for a program: cast and crew names, headshots or photos, bios, credits, and sometimes sponsor or acknowledgment details. This is usually shared via Dropbox, Google Drive, or a similar file-sharing service, rather than email. This information belongs to people who are not our direct client — most often performers, crew and creative teams.
Client responsibility for cast and crew information
When a company sends us photos, bios, or names for a program, we rely on that company having already obtained appropriate permission from the individuals involved to share and publish that information. We use it solely to design the program it was supplied for, and don't repurpose it for any other production or for our free resources. Under our standard program agreement, we retain the right to use completed work for portfolio and promotional purposes; if you'd prefer your program isn't used this way, just let us know and we'll respect that.
How we use it
- To design and produce the theatre program you've engaged us for. Material you send us, including graphics, logos, headshots and bios, is used to complete that program, and, unless you opt out, may also be used to showcase our completed work as outlined in our program agreement.
- To respond to enquiries and communicate about a project.
- To send free resources and occasional planning tips, only if you've signed up for them, and only until you unsubscribe. Free resources are generic guides we've written ourselves, never built from client-supplied material.
Third-party services we use
We use a small number of third-party services to run this site and business. Each processes personal information under its own privacy policy, and some may store data on servers outside Australia:
- Kit (email newsletter platform) — stores the name and email address of anyone who signs up for free resources.
- Web3Forms (contact form processor) — receives and forwards contact form submissions to our inbox.
- GoDaddy (web hosting) — hosts the website files.
- Dropbox, Google Drive, or similar file-sharing services, used for clients to send us production files such as graphics, logos, and headshots. These are governed by that service's own privacy policy and any sharing permissions you set.
Storage and retention
We keep production files, including cast and crew content, for as long as reasonably needed to complete and support the program, and for a reasonable period after in case of reprints or follow-up requests. You can ask us to delete files relating to a past production at any time.
Your rights
- You can ask what personal information we hold about you, and request a correction, at any time.
- You can unsubscribe from our email list using the link in any email, or by contacting us directly.
- If you're a performer or crew member and want information about you removed from our files, either you or the production that submitted it can contact us.
A note on this policy
This policy is written in plain language to be genuinely useful, but it isn't a substitute for legal advice. As a small business, Entr'acte Creative may not be subject to every obligation under the Australian Privacy Act 1988 in the same way a larger organisation is, but we've written this policy to reflect good practice regardless. If you'd like more detail on how a specific piece of information is handled, just ask.
Changes to this policy
We may update this policy from time to time as the business or the tools we use change. The date at the top will reflect the latest update.
